- Who it is for
- HR managers, HR generalists, and hiring managers who need to turn a hiring request into a job description they can post.
- Outcome
- A clear, inclusive job description built from your real requirements, plus a short version for job boards and a list of questions to confirm with the hiring manager.
Step-by-step prompts
Paste each step into the same chat so the model keeps the earlier context. Then edit before you send.
Step 1
Gather the inputs
You're an experienced HR partner helping me write a job description. Use only what I give you. Ask me up to 5 questions if anything important is missing. Job title and level: [title, level] Team and who it reports to: [team, manager title] Why the role exists: [new need, backfill, growth] Main responsibilities: [list or paste the hiring manager's notes] Must-have requirements: [skills, experience, licenses] Nice-to-haves: [list] Location / work model: [onsite, hybrid, remote; location] Pay range and benefits: [if you're sharing them] Company voice: [paste a past posting or describe it]
Step 2
Draft the description
Write the job description with these sections: About the role (3-4 sentences), What you'll do (5-7 bullets, starting with verbs), What you'll bring (must-haves only), Nice to have, Pay and benefits, How to apply. Plain language, no buzzwords like "rockstar" or "fast-paced family."
Step 3
Challenge the requirements
Review the must-haves. Flag any that may not be needed to do the job (e.g. degree requirements, years of experience, extra tools) and could shrink the candidate pool. For each, suggest keeping it, moving it to nice-to-have, or rewriting it as a skill.
Step 4
Inclusive language check
Check the whole description for gendered, age-coded, or exclusionary wording and for physical requirements that aren't essential. Suggest neutral replacements. Add a short equal-opportunity statement placeholder: [your company's approved EEO statement].
Step 5
Short version and manager questions
Write a 100-word version for job boards and social posts. Then list 5 questions I should confirm with the hiring manager before posting (anything you assumed or that looked unclear).
Example of good output
EXAMPLE ONLY. Fictional company and role. Customer Success Coordinator (hybrid, [city]) About the role: You'll be the first point of contact for our new customers, helping them get set up and stay successful. You'll report to the Customer Success Manager and work closely with sales and support. What you'll do: Run onboarding calls with new customers · Track open customer requests and follow up · Write and update help articles Requirements fix: "Bachelor's degree required" → "Experience in a customer-facing role (any industry)." Manager question: "Is weekend coverage ever expected?"
Tips and pitfalls
- Start from the real job. Get the hiring manager's notes first. AI fills gaps with generic duties that may not fit the role.
- Remove anything you didn't provide. Check for made-up benefits, perks, or requirements.
- Fewer must-haves is usually better. Long requirement lists can put off qualified people.
- Use your approved legal language. Have HR or legal review EEO statements, pay transparency, and location rules for your region. AI isn't a legal source.
- Keep it out of hiring decisions. This playbook is for writing the posting, not for screening or judging candidates.
Works with
These prompts are plain text, so they work in ChatGPT, Claude, and Gemini. Paste each step into the same chat so the AI keeps the context from earlier steps. Free and paid tiers both work. Paid tiers usually handle longer pasted material better.
