Project manager
AI Prompts for Project Status Reports
Start with Step 1See an example
- Who it is for
- Project managers, team leads and coordinators who send a regular status update and want it to be short, honest and the same shape every time.
- Outcome
- A status report built from the updates you paste: an overall status you choose, progress since last time, what's next, risks and issues with owners, and any decisions or help you need. You also get a shorter version for senior readers.
These prompts are plain text, so they work in whichever AI chat tool you use. Paste each step into the same chat so the AI keeps the context from earlier steps.
Step-by-step prompts
How to use it: replace the words in [brackets] with your details, paste Step 1 into your AI tool and answer any questions it asks, then paste the next steps into the same chat. Read and edit the result before you use it.
Step 1
Paste this period's inputs
I'm writing a status report for [PROJECT] covering [PERIOD]. Here are my inputs (I've removed anything confidential that isn't needed): - Task or milestone updates: [PASTE] - Notes or recaps from this period: [PASTE] - Known risks and issues: [PASTE] - Last report, if I have one: [PASTE] Use only these inputs for everything that follows. Don't write the report yet; first list anything that seems to be missing or contradictory.
Step 2
Set the overall status
My overall status for this period is [GREEN / YELLOW / RED] because [ONE-LINE REASON]. Don't change it. If anything in my inputs seems to contradict it, tell me what and why, and I'll decide.
Step 3
Draft the report
Draft the status report with these sections: - Overall status and the one-line reason (as I gave it) - Done since last report (bullets, with dates where I gave them) - Planned for next period - Risks and issues (each with owner and next action; write "OWNER NEEDED" if none is named) - Decisions or help needed (who, what, by when) Keep it under 300 words. Write plainly, with no hype and no softening of problems.
Step 4
Compare with the last report
If I didn't paste a last report, skip this step. Otherwise, compare this draft with my last report. List any milestone or date that moved, any risk that was open last time and isn't mentioned now, and any commitment from last time that isn't reported on. Add a short "Changes since last report" line to the draft so readers don't have to spot them.
Step 5
Make a short version for senior readers
Write a version under 80 words for [SPONSOR / LEADERSHIP]: overall status and reason, the single most important change, and any decision or help needed from them with a date. Keep the same facts; just fewer of them.
Example of good output
Illustrative example, fictional project; not real data or model output:
Office Move: Status, [date]
Overall: YELLOW. Furniture delivery has moved one week later; the move date still holds if the new date is confirmed.
Done: Floor plan signed off; IT network survey completed.
Next: Confirm furniture date; send staff packing guide.
Risks and issues: Furniture delay could push the move. Owner: facilities lead. Next action: get written delivery date by Friday.
Help needed: Sponsor to approve overtime for the weekend move by [date].
Changes since last report: Furniture delivery date moved.
Tips and pitfalls
- You set the status color. The AI can point out contradictions, but the judgment about green, yellow or red is yours.
- Name owners for every risk. A risk with no owner is a risk nobody is managing. "OWNER NEEDED" makes the gap visible.
- Report bad news plainly. A clear yellow now is better than a surprise red later. Ask the AI to remove softening language, not to add it.
- Keep the same structure every time. Readers learn where to look, and the comparison with last time becomes easy.
- Paste only what's needed. Use an AI tool your organization allows, and leave out confidential financials or personal details that the report doesn't need.
FAQ
How is this different from the meeting notes playbook?
Meeting notes summarize one meeting. A status report pulls together everything from a reporting period, including tasks, risks and decisions, for people who weren't in the meetings.
Can I paste several weeks of meeting recaps?
Yes. Paste them in Step 1 as notes. The AI will use them as inputs, and you still set the overall status yourself.
What if my company has a status template?
Paste the template's headings into Step 3 instead of the ones above, and the AI will follow them.
