ChatGPT Prompts for Executive Assistant Meeting Agendas
Also searched as: ChatGPT prompts for meeting agendas
- Who it is for
- Executive assistants and coordinators who build agendas for their executive's internal meetings from a loose list of topics.
- Outcome
- A timed agenda with an owner and a desired outcome for each item, a short pre-read request, and a ready-to-send invite note.
Step-by-step prompts
Paste each step into the same chat so the model keeps the earlier context. Then edit before you send.
Step 1
Share the meeting basics
You're helping me prepare a meeting agenda for my executive. Use only the details I give you. If something is missing, write [TBD] instead of guessing. Meeting: [meeting name and purpose] Length: [total minutes] Attendees: [names and roles, or "roles only"] Topics in no particular order: [paste topic list]
Step 2
Turn topics into agenda items
Turn the topics into agenda items. For each item give: Topic | Owner (from the attendee list, or [TBD]) | Desired outcome (decide, discuss, or inform) | Minutes. Put decisions early, keep 5 minutes at the end for next steps, and make the minutes add up to the total length. If the topics don't fit, tell me which ones to move to another meeting.
Step 3
Check the agenda
Review the agenda. Flag any item with no clear outcome, any owner marked [TBD], and any topic that seems to need a pre-read. Phrase each flag as a short question I can ask my executive.
Step 4
Write the invite note
Write a short calendar invite description under [120] words: the purpose in one sentence, the agenda as a numbered list with minutes, and any pre-reads due by [day]. Keep the tone [direct / friendly].
Step 5 · optional
One-page version for the executive
Write a one-page brief for my executive: the meeting purpose, the decisions needed, who owns each item, and the questions from the agenda check that still need an answer.
Example of good output
EXAMPLE ONLY. Illustrative and fictional; not real model output.
| Topic | Owner | Outcome | Minutes |
|---|---|---|---|
| Choose the offsite date | [TBD] | Decide | 10 |
| Hiring plan update | Head of People | Inform | 10 |
| Next steps | Chair | Decide | 5 |
Agenda check: "Who should own the offsite date decision?"
Tips and pitfalls
- Start with the outcome. An item without a decide, discuss or inform outcome usually runs long.
- Keep [TBD] visible. It is easier to fill a gap than to correct a guessed owner.
- Check what you paste. Leave out confidential details unless your company allows them in the AI tool you use.
- Confirm with your executive. The assistant can't know their priorities. Treat the agenda as a draft.
- Reuse the format. A consistent agenda layout helps regular attendees prepare.
Works with
These are plain-text prompts written for general chat assistants such as ChatGPT, Claude and Gemini. Paste each step into the same chat so the assistant keeps the earlier context. PromptsByRole has not tested this playbook with any model, so check every draft before you use it.
