ChatGPT Prompts for Sales Follow-Up Emails
Also searched as: ChatGPT prompts for sales follow-up emails
- Who it is for
- Account executives, SDRs and founders who sell, once they have already spoken with a prospect and need to follow up after a call, a demo, a sent proposal or a stretch of silence.
- Outcome
- A follow-up email built from your own notes: a recap the buyer can forward to a colleague, next steps with owners and dates, and short nudges for when they go quiet. It includes nothing you didn't actually say or agree to.
Step-by-step prompts
Paste each step into the same chat so the model keeps the earlier context. Then edit before you send.
Step 1
Paste what happened
You're helping me write a sales follow-up email after a conversation with a prospect. Use only the facts in my notes. Don't add pricing, discounts, delivery dates, product features, customer results or commitments that aren't in my notes. If the email needs one, write [CHECK: what's needed] instead. Type of conversation: [discovery call / demo / meeting / proposal sent / no reply since] Prospect: [name, title, company] Date of the conversation: [date] My notes: [paste your notes: what they said, what they asked, what we agreed] What I want to happen next: [e.g. a second call with their IT lead]
Step 2
Sort the notes
Before you draft anything, sort my notes into four lists: 1. Problems they described, in their own words where my notes have them. 2. Questions they asked that I still owe an answer to. 3. Next steps we agreed, each with an owner and a date. 4. Anything I offered or promised. Mark any next step with no owner or date as [CHECK].
Step 3
Draft the recap email
Write the follow-up email in under [150] words: - Thank them in one line. - Recap their 2-3 main points so they could forward the email to a colleague who wasn't there. - Answer or acknowledge each open question. Use [CHECK] where I still need to find the answer. - List next steps as bullets with owner and date. - End with one clear ask. Then give me 3 subject lines that name the meeting or the topic, not "Following up".
Step 4
Plan nudges for a quiet buyer
If they don't reply, write [2] short nudges for [5] and [12] business days after the recap. Each one must give them a reason to answer, taken from my notes: an open question, something I said I'd send [CHECK: link or file], or a smaller next step. Keep each under [60] words. Make the last one easy to answer with "not right now".
Step 5 · optional
Read it as the buyer
Read the recap and the nudges as [prospect's title], then as a colleague they might forward it to. Flag anything that sounds pushy, anything the colleague couldn't follow without being on the call, and every remaining [CHECK]. Then rewrite it with these fixes from me: [paste your fixes].
Example of good output
EXAMPLE ONLY. Illustrative and fictional; not real model output. Subject: Tuesday's demo: notes and next step Hi Priya, thanks for the time on Tuesday. A quick recap for you and Marcus:
- Your team re-types field reports into the tracker every Friday.
- Exports need to match your [CHECK: report format].
You asked about single sign-on. I'll confirm with our product team and reply by Thursday. Next steps: I'll send the security overview by Thursday. You'll share a sample report. Would a 30-minute call with your IT lead next week work?
Tips and pitfalls
- Write it the same day. Your notes are most complete right after the call, and the recap is mostly sorting them.
- Don't let it promise for you. Delete any price, date, feature or discount in the draft that you didn't actually agree to.
- Use the buyer's words. Paste their phrases from your notes so the recap reads like their problem, not your pitch.
- Keep deal data minimal. Don't paste confidential pricing or CRM records into an AI tool your company hasn't approved.
- Stop when they say no. After the last nudge, stop. Follow your company's email rules and honor opt-outs.

These are plain-text prompts written for general chat assistants such as ChatGPT, Claude and Gemini. Paste each step into the same chat so the assistant keeps the earlier context. PromptsByRole has not tested this playbook with any model, so check every draft before you use it.
FAQ
How is this different from the cold email playbook?
The cold email playbook is for prospects you haven't spoken with yet. This one starts from a real conversation, so everything in the email comes from your notes.
Can I paste a call transcript?
Yes, if your company allows it and the call was recorded with the consent your company and region require. Paste only the parts that matter to the follow-up.
What if the deal has gone quiet for weeks?
In Step 1, choose "no reply since [date]", paste your last email, and go straight to Step 4.
